Position Summary

Karius is on a mission to help clinicians do more for their patients by bringing the genomic revolution to infectious disease diagnosis. The Office Manager reports to the Manager, Programs and Operations. The Office Manager will drive all aspects of office operations and work closely with our laboratory team to ensure a safe and pleasant onsite experience for all staff and visitors. This person plays an instrumental role in the team’s ability to achieve company objectives by ensuring the onsite experience is conducive to their best work.

Responsibilities:

·       Act as the face of the organization by welcoming guests and ensuring a pleasant guest experience
·       Supervise and manage relationships with vendors, service providers and landlord, ensuring that work is satisfactorily completed, and all items are invoiced and paid on time
·       Maintain a safe and secure working environment by working with office, laboratory, and security staff to ensure safety and security procedures are adhered to and all staff are trained appropriately. Remain on call during off-hours to triage and address after-hours office emergencies, as needed
·       Responsible for ensuring office financial objectives are met by preparing annual budget for the office, planning the expenditures, analyzing variances and carrying out necessary corrections that may arise
·       Perform review and analysis of special projects and keep management properly informed
·         Participate actively in the planning and execution of company events including all hands meetings and engagement events such as happy hours and company retreats
·       Organize facilities orientation and training of new staff members
·       Ensure mail room is appropriately stocked with supplies for outgoing shipments
·       Assist in the stocking and maintenance of kitchen supplies
·         Inventory Control and Supply Management: coordinate with IT department on all office equipment
·       Ensure office efficiency is maintained by carrying out planning and execution of equipment procurement, layouts, space planning and office systems
·         Responsible for developing and implementing office policies by setting up procedures and standards to guide the operation of the office. Ensure that results are measured against standards, while making necessary changes along the way
·         Allocate tasks and assignments to subordinates and monitor their performance. Ensure top performance of office staff by providing them adequate coaching and guidance
 
Travel:      No air travel anticipated.  Some local location scouting for company events, retreats etc.

Physical Requirements:

Subject to extended periods of sitting and/or standing, vision to monitor and moderate noise levels. Must be able to lift ~50 lbs. Work is generally performed in an office, lab or clinical environment.

Position Requirements:

·       Minimum High School diploma, AA/BA preferred
·       Minimum 3 years+ experience in a senior office coordinator position
·       Previous experience with a lab facility preferred
·       Vendor management experience (custodial, security, supplies)
·       Project management experience with demonstrated results (PMP certification a plus)
·       Previous experience liaising with leasing agents, regulatory officials such as fire marshal and building permitting a plus
 
Personal Qualifications:

·         Proven office management experience. Knowledge of office management responsibilities, systems and procedures. Knowledge of accounting, data and administrative management practices and procedures (SAP, G suite, Atlassian experience a plus).
·         Excellent time management skills and ability to multi-task and prioritize work. Engages with stakeholders and manager appropriately to provide updates and drive larger projects to conclusion within agreed to time frame
·         High integrity, get-it-done professional with a servant-leader mentality
·         Strong attention to detail, organizational and planning skills. Ability to self-audit and continuously improve procedures and processes
·         Excellent written and verbal communication skills. Comfortable engaging with all levels of stakeholders
·         Previous experience with office moves, a plus
